Client stories

What "done" looked like

Real businesses, real numbers where the client is happy to share them. Each one is written as before, what we did, and what changed.

A radon mitigation company, Kootenays, BC

Quote conversion had fallen from 90% to 10%. It was not the market.

Before

Manual invoice numbers, quotes sent as PDFs, leads in a notebook, and a sudden drop in accepted quotes that looked like seasonality.

What we did

  • Lead tracker fed straight from the website form
  • QuickBooks catalogue of 43 services
  • Estimate template fixed so customers could actually click approve
  • Travel and pay rules written down
  • A job profitability model from the real numbers

After

The cause of the drop found and fixed. Owner margin known for the first time.

A cleaning company, Kootenays, BC

From one cleaner to a team with a manager, without losing what made it work.

Before

A founder doing every job, every quote and every hire herself, with a brand that lived in her head.

What we did

  • Pricing structure
  • Employment agreements and a first manager role
  • Hiring package and interview process
  • Job cards and a travel fee tracker
  • Brand strategy, brand book and website plan

After

Active clients up from 12 to 15 with no marketing, about ten organic leads a month, and the brand direction signed off.

A retreat centre, Kootenays, BC

A booking process that stops work starting before the deposit lands.

Before

Facilitator bookings by email and memory, retreats promoted before agreements were signed, three inboxes on a legacy host.

What we did

  • Facilitator intake form
  • A deposit gate before any listing or promotion
  • A cancellation policy built from an eight-centre comparison
  • Google Workspace migration

After

Intake form live, email on Workspace, one written policy the whole team works from.

A retreat and somatic practice, BC

An inbox with 58,000 unread emails, and a practice that now knows its numbers.

Before

A practice run on personal outreach and instinct, with books across six accounts and a mailing list that was not landing.

What we did

  • Inbox filters and a clean list
  • Email deliverability fixed
  • Books moved to Xero
  • GST registration figures worked out
  • Retreat pricing that covers the travel it used to absorb

After

Inbox near zero, 352 of 1,263 contacts cleaned, GST figures filed.

A 106-lot strata scheme, Sydney

A strata committee that meets, decides and hears back from its owners every month.

Before

Eight volunteer committee members, a building manager, a strata manager, and nobody whose job it was to hold the thread between meetings.

What we did

  • Monthly meeting cycle and owners' letter
  • Electronic voting
  • A gym renovation managed from quotes to opening
  • Process documents for the handyman, invoices and minutes

After

Ongoing since December 2024.
